Recruiting for a Legal PA - Private Client for a leading law firm with amazing clients !!! Working for a busy and demanding Partner who travels extensively so needs a PA with international travel and diary experience. Salary c£45,000 + hybrid working 2 days at home. Duties and Responsibilities Acting as a first point of contact on behalf of the fee-earners, fielding calls, emails, correspondence and meeting requests (both internally and from clients), responding on behalf of the fee-earner, if appropriate. Full proactive and advanced calendar management for assigned fee-earners, including scheduling calls/meetings (ensuring all supporting papers/information are available for each meeting), looking ahead and following-up as needed to ensure best use is made of fee-earners time). Ensuring the fee-earners working on the case are fully prepared for all client meetings by collating required information (and input from others), preparing background information and notes as needed, supporting the follow-through of action points etc. To work with the client lead Partner and BD team to plan and deliver the Client Care programme, including meetings, mailings and events and to co-ordinate and share client related news searches. To develop a strong working knowledge of the Firm's billing systems, including processes, IT systems and specialist support available internally, to support the fee-earners in being able to prepare and issue timely and accurate bills to clients. Supporting fee-earners with monitoring and addressing unpaid bills, liaising with Credit Control as required. To co-ordinate the WIP lists and billing on behalf of Partners, including liaison with billing team. Pro-active monitoring of time and bills against the estimate. To support fee-earners in the smooth running of the client/matter lifecycle, following documented procedures, and working closely with internal client on-boarding and compliance specialists to ensure all required information/documentation is obtained, issued and correctly stored on the Firm's systems. This will involve pro-actively chasing fee-earners and their clients for any missing information as well as full management of client files etc. Organising business breakfasts, dinners or smaller events and assisting fee-earners with expenses. Researching company/client information and biographies. Logging referrals and contacts to interaction and management of Interaction lists. Full management of travel and expenses for assigned fee-earners, ensuring business travel is booked via the Firm's in-house provider. This will include both routine and more complex travel arrangements, ensuring that fee-earners are provided with full itineraries, supporting materials and that business expenses are captured, approved and processed for payment in line with policy. Ensuring all documents are maintained and filed in line with the Firm's electronic and hard copy filing protocols. Prepare, amend and proofread documents (e.g. letters, reports, attendance notes, memos, emails, pitches, presentations, articles etc. ensuring these are produced to the required standards and in line with House Style, and that they are retained and filed accurately. If hired within the team, collaborating with Administrative Assistants to ensure that they provide support with filing and archiving, scanning, photocopying, updating contacts on Interaction and arranging couriers etc. Working closely with internal document/presentation experts for more specialist tasks, such as the preparation of longer or more complex documents, pitch/presentation materials etc. Liaising with other internal departments to obtain specialist input as needed, taking ownership of issues and following up where appropriate. Skills/Experience Previous experience gained in an administrative role supporting a team in a similar professional services environment (ideally legal). Strong time management skills; will need to juggle a number of tasks at any given time, plan ahead, and have the ability to re-prioritise and adapt to changes in requirements. Previous experience managing calendars for multiple individuals, with the ability to apply judgement and common sense to ensure the best use of people's time is made, and that any potential diary clashes are pro-actively identified and addressed. Excellent attention to detail, with the ability to deliver work to a consistently high standard of precision (even under pressure) in an environment where accuracy is prized. A flexible approach to work: able to respond positively and willingly to changes to requirements, schedules, work required etc. Organised and methodical, and able to operate effectively within structured work processes, in particular, with compliance/quality control frameworks. A strong team player, willing to take on work for additional fee-earners and/or help with other tasks as needed in order to meet the needs of the business. Previous experience using bespoke in-house systems (e.g. client contact databases, matter management systems, billing systems etc.) with the willingness and potential.

After 6 months, the successful Legal PA will move into the Prosecution team for a further 12 months covering a maternity leaver. The Prosecution team will require a Legal PA who is process driven and is happy dealing with intricate tasks. Although this role is an 18 month contract, the firm are incredibly well known for retaining good quality staff and there is a chance of securing a permanent role during or at the end of the contract. The Legal PA is an integral part of fee earning teams; providing a high level of professional support to Partners and Fee Earners. The Legal PA is expected to take on complex tasks, support projects and provide departmental PA support; playing a critical role in managing daily administration for their stakeholders. Responsibilities: You will be responsible for providing comprehensive PA support to fee earners in order to assist them in their day to day work and maximise the amount of time they spend on fee earning activities. Your duties will include diary management, liaising with clients, file and matter management and billing, adhering to the relevant service level agreements and standard operating procedures for your role. Executive Assistant - Dispute Resolution x 2 initial 12 month contracts working for a magic circle law firm in the City. This role is for a proactive and highly competent EA who will provide professional, and client focused support to senior stakeholders in a dynamic and fast-paced environment. This role works closely with other business services teams and resources to deliver effective solutions via the most efficient route possible. The individual needs to be adaptable, dynamic, and confident in their ability to drive change, influence stakeholders and build relationships. This role offers immense scope with responsibilities that are wide ranging and provides a real opportunity to add value. This role will provide proactive support across a broad range of responsibilities, including matter and financial management. Duties: Proactive inbox and diary management. Ability to act on behalf of stakeholder and first point of contact Management of effective Outlook filing system and firm e-filing protocol. Proactive flagging and escalation of priority emails. Drafting of high-quality correspondence and communicating on stakeholder behalf. Effective gatekeeping, forward planning and scheduling. Oversee progress of meeting logistics delegated to AC e.g. room set-up, refreshments, AV etc. Preparation and timely circulation of agendas, materials, minutes/actions, monitor and follow up of actions. Highlight priorities and conflicts to stakeholder, source delegates. Communicating with clients directly, screening calls and providing responses, including resolving and/or directing enquiries/requests to more appropriate areas in the firm. Utilise the firm travel agent platform to arrange complex travel, VISAs, itineraries. Project management and ownership of tasks delegated to AC as appropriate. Maintain effective document management and matter filing systems via iManage. Ability to produce basic PowerPoint deck and amend as appropriate. Matter management Provide client and matter relationship support such as client contact, arranging and attending meetings, taking minutes, producing actions. Draft client engagement letters. Create and maintain holiday charts for matter/project teams. Draft and track submission of Experience Capture Forms at matter close. Financial management Arrange WIP updates and billing cycles according to client matter requirements. Ensure knowledge and recording of client/matter fee deals and discount rates for billing purposes. Work with the billing team to proactively manage WIP. Communicate regular fee updates. Prepare personalised letters to accompany client invoices when required. Assist with bad debt management and communicate with clients regarding bad debt as required. Monitor local budgets and cost schedules. Liaise with AC for tasks such as: raising proformas, processing invoices/POs, time recording (ensuring application of correct phases and detailed narratives), 1st cut bill narrative edits (review work once complete), write off actions, WIP reports. Marketing and Business Development (MBD) and Events Act as key client contact. Proactive upward management of business development and other firm-wide initiatives. Utilise Salesforce to maintain client contacts and client programme activities, and track deal activity. Research prospective clients and draft capability statements and other supporting collateral for more speculative opportunities. Support with 1st stage draft pitch documents, working with the pitch team as required. Ensure CVs, biographies and social media profiles are maintained. Support with coordination of team submissions to legal directories (e.g. Chambers). Support with organisation of internal and external events, hearings, conferences etc, utilising the Events team and delegating to AC as appropriate. Expected behaviours Displays discretion, good judgement and acts as trusted adviser Ensure all activities and duties adhere to risk and compliance requirements and maintain all requirements to protect confidential client and firm information.
